TRANSNATIONAL PROJECT MEETING MINUTES
The first transnational
meeting of Erasmus+ project entitled “STEAM Children Engineers
Academy” (2017-1-PL01-KA219-038281) took place in Czasław, Poland
from the 7th
to the 9th
of November 2017, hosted by the project coordinator, Szkoła
Podstawowa im. M. Kopernika w Czasławiu.

OF THE TRANSNATIONAL PROJECT MEETING
- Tuesday, the 7th of November ‘17
Guest
partners arrived at Krakow airport and were transferred to Czasław
coordinating school.
15:00-19:30
After the
first greetings and introductions, the STEAM team started working on
the project as
follows:
Discussions
concerning:
- Partner tasks and activitie
- Financial and administrative information
- Mobilities. Based on these discussions, the underneath agreements were made and these activities were undertaken:
- Partner tasks and activities:
Obligations for all

- Schools erasmus+ corners
- Schools posters/brochures
- Constant dissemination throughout the 3-year project
- Activities implementation according to approved proposal
STEAM – Children Engineers
Academy
- Announcements and Activities to be uploaded on the STEAM Twinspace (Etwinning), Website, Facebook profile, Twitter
- Follow deadlines according to Gant Chart
- Dissemination according to Erasmus+ regulations (logos, branding)
- Facebook profile page upload
- Twin space activity upload
- STEAM website activity upload
- summer/winter STEAM camps in each school (up to five days-can also take place throughout the school year, day per day)
- MobilityTool (By each and every partner after each mobility completion)
- 20 bilingual STEAM lesson plans per partner until the end of June, 2019
When it comes to these
Lesson
Plans, the
coordinator gave and showed all partners effective ways in order to
prepare, arrange or share the STEAM lessons throughout the
implementation of the project. More specifically the coordinator
introduced the following ways of making lesson plans to the partners:
1. Introduction to the
Learning Design
2. TES teach -blend space
and
3. Symbaloo Edu
Specific tasks for
each partner
- Italy : School Blog (native or bilingual)/Partners' logos to be sent to Italy/2019 calendar along with Greece/ Short films of LTTA visits or lessons
- Estonia : School Blog (native or bilingual) /e-magazine (after each L.T.T.A. and T.P.M.) /twitter account/2020 calendar along with Poland/ Short films of LTTA visits or lessons
- Spain : School Blog (native or bilingual)/FB project profile/2018 calendar/final glossary of the 20 steam lessons terms X 5 partners=100 by the end of June 2019/ Short films of LTTA visits or lessons
- Greece : School Blog (native or bilingual) / website/Twin Space along with Poland(ETwinning) /2019 calendar/ Short films of LTTA visits or lessons
- Poland : School blog (native or bilingual) /Twin Space along with Greece (ETwinning) / / Erasmus+ Results Platform/monitoring/ implementation/ quality control/2020 calendar along with Estonia/ Short films of LTTA visits or lessons

OF THE FIRST DAY OF THE 1ST TRANSNATIONAL PROJECT MEETING
- Wednesday, the 8th of November ‘17
08:00-14:00
Partners
arrived at school, had a tour around the classes that will actually
work on the project. They then exchanged ideas with all Polish
teachers, focusing on the project implementation and redefining the
tasks to be materialized. Afterward the STEAM team started talking
about:
- Financial and administrative information
- They were asked to have:
- Close communication and monitoring
- Costs eligible if made within the project duration
- Keep records/documents/copies of receipts in school for at least 5 years after the end of the project (Project budget diary)
- They were told to pay specific attention to:
- Checks by National Agency
- To submit the : Interim report check (with products) to request 2nd instalment
- Final report check (products, quality, results, impact, quality of LTTA arrangements and recognition of learning outcomes, diffusion)
- After final report, we receive the last instalment
- If final report receives grade below 50/100, instalment will be reduced
- Documents check (certificates, participants lists, receipts etc.) should be handy on the spot check, during project implementation/after the completion for 5 years time
- All of us receive the 40% from our NAs (advance)
- Interim report to prove 70% of the advance is spent, in order to get the rest 40%.
- All of us keep at school, records for 5 years after project end
- AFTER EVERY TRAVEL, EACH PARTNER KEEPS:
- Airplane boarding passes (original)
- Accommodation receipts (original)
- Receipts from transport or other expenses (original)
- THE HOST COUNTRY GIVES:
- Certificates of attendance
- Participants list (original)
- Meeting agenda and invitation

OF THE SECOND DAY OF THE 1ST TRANSNATIONAL PROJECT MEETING
19:00 All partners attended
the Polish Independence Day Celebration.
• Thursday,
the 9th of November ‘17
08:00-12:00
Over
these hours partners talked about the C.
Mobilities and
particularly about the upcoming mobility to Spain. They also arranged
the first two years mobility dates, as follows:
1st L.T.T.A. to Spain/from
the 19th to the 25th of Apr’18
2nd T.P.M. to Greece/from
the 29th of Sep to the 3rd of Oct’18
3rd L.T.T.A to Italy/from
the 24th of Mar to the 30th of Mar’19
4th L.T.T.A to Estonia/from
the 26th of May to the 1st of June’19
It was also agreed that the
above mentioned dates might change due to reasons regarding each
country’s national curriculum or any potential drawback.
Apart from that, it was
agreed that all countries will mobilize up to 4 pupils each, except
for Italy and Spain who expressed their wish to mobilize more pupils
(of course under conditions and if possible).
Mobility
protocol
The mobility protocol, as
proposed by the coordinator, was distributed and every partner agreed
on implementing it during our project. The following points were
particularly stressed out by the coordinator:
• Issue insurance
contracts for mobilities with pupils
• European Card for all
travelling participants
• Inform embassies to
destination country
• 5 work days for LTTAs
C1-C2-C3-C4-C5 (+2 travel days)
• No days limit for
project meetings M2-M3

OF THE THIRD DAY OF THE 1ST TRANSNATIONAL PROJECT MEETING
- After the end of this session, partners departed from Czaslaw to Krakow Balice airport.
